AI Governance
Lumikha Teams (Bagong Proceso Oficina, Inc.) builds teams that work with AI. People set direction, AI extends what they can produce, and a named person is accountable for every piece of work that reaches a client. This page explains how we govern that.
Principles
People are accountable. Every deliverable has a named team member who reviewed it and answers for it. AI output is a draft until a person approves it.
Client data stays under client control. We use AI with client information only in ways the client has agreed to, and never in tools that train on it.
We are open about how work is made. Clients know which tools their team uses and can change that.
The right tool for the job. We choose tools by fit, cost, and data protection, including open-weight models run in controlled environments where that gives better privacy or economy.
Approved Tools
Lumikha maintains an approved tools list. A tool goes on the list only after we have checked:
whether it uses inputs or outputs to train models, and whether that can be switched off;
where data is stored and processed, and for how long;
its security controls and access management; and
its terms on ownership of output.
Team members use approved tools only, under their Lumikha or client-provided accounts. Personal accounts on consumer AI tools are not used for client work.
Client Data
Client confidential information and personal data are used only in tools configured so that inputs are not used for training, or in models run in environments we or the client control.
Clients can require specific tools, restrict particular tools, or prohibit AI use on any part of their work.
Sensitive personal information is not entered into AI tools unless the client has instructed it and the tool meets the client's data protection requirements.
Our handling of client data follows the Data Privacy Act of 2012 (RA 10173) and our Service Terms.
Quality & Review
Every AI-assisted deliverable gets human review for accuracy, originality, brand fit, and suitability before it is delivered.
Facts, figures, quotations, and claims are checked against sources.
We check AI-generated text and images for similarity to existing works and do not deliver output that reproduces third-party material.
Where a client's audience or regulator expects AI use to be disclosed, we follow the client's disclosure policy.
Ownership
Clients own the work product their team creates for them, including AI-assisted work, as set out in our Service Terms. Where copyright protection for AI-generated material is limited by law, human authorship and editing by our team strengthen the client's position, and we can document how a deliverable was made on request.
AI in Hiring
We may use software to organize applications and support assessment. Every screening, shortlisting, and hiring decision is made by a person, and no application is rejected automatically. Practical exercises measure how well a candidate does the work, including how they direct and check AI tools.
Our Team's Capability
Working well with AI is a core skill at Lumikha. Team members are trained on the approved tools, prompt and workflow design, verification, and data handling, and this forms part of their development plan and performance reviews.
